We are a data controller, and our data protection officer is Lee Stratford
We act as your agent and will collect data, including personal information and risk details, solely to enable us to obtain and provide insurance quotations, arrange and administer your insurance. Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are contractual obligation, and for our legitimate business interests as an insurance broker. We will be unable to offer any quotation or insurance if you refuse to provide certain personal data, including health, financial and criminal records data which is collected under the lawful basis of public interest, where these would affect the provision of cover and/or performance of insurance contracts.
For the purposes specified within this privacy statement, we collect and process the following information:
- Personal identifiers, contacts and characteristics (for example, name and contact details)
- Health, financial and criminal records
- Bank Details
We regard the lawful and correct handling of personal information by the firm as an essential element in achieving fair treatment of customers and to maintaining confidence between those with whom we deal and ourselves. We therefore need to ensure that our organisation treats personal information lawfully and correctly. To this end, we fully endorse and adhere to the Principles of data protection, as set out in the Data Protection Act and General Data Protection Regulations.
In this respect, personal information:
- shall be processed fairly and lawfully and, in particular, shall be processed only in accordance with our stated privacy policy;
- shall be obtained only for one or more specified and lawful purposes, and shall not be further processed in any manner incompatible with that purpose or those purposes;
- shall be adequate, relevant and not excessive in relation to the purpose or purposes for which they are processed;
- shall be accurate and, where necessary, kept up to date;
- shall not be kept for longer than is necessary for the specified purpose(s);
- shall be processed in accordance with the rights of data subjects under the Act;
- should be subject to appropriate technical and organisational measures to prevent the unauthorised or unlawful processing of personal data, or the accidental loss, destruction, or damage to personal data;
- shall not be transferred to a country or territory outside the UK unless that country or territory ensures an adequate level of protection for the rights and freedoms of data subjects in relation to the processing of personal data.
Therefore, the firm will, through appropriate management and strict application of criteria and controls:
- observe fully conditions regarding the fair collection and use of information;
- meet its legal obligations to specify the purposes for which information is used in the disclosure documentation provided to customers, obtaining consent for any marketing activities that we intend to provide;
- collect and process appropriate information only to the extent that it is needed to fulfil our operational needs or to comply with any legal requirements;
- ensure the quality of information used, regularly checking its accuracy;
- ensure that the information is held for no longer than is necessary for the purpose for which the data was originally collected, subject to our legal and regulatory obligations and legitimate business interest to protect and defend the company from litigation;
- ensure that the rights of people about whom information is held can be fully exercised under the Act (i.e. the right to be informed that processing is being undertaken, to access one’s personal information; to prevent processing in certain circumstances, and to correct, rectify, block or erase information that is regarded as wrong information);
- take appropriate technical and organisational security measures to safeguard personal information;
- ensure that personal information is not transferred abroad without suitable safeguards.
- To assist in achieving compliance with the Principles for Business of the Financial Conduct Authority:
- appoint an Information Security/Data Protection Officer (as stated on the first page of this document) at a senior level with specific responsibility for data protection and information security assets within the firm who will be responsible for providing staff with guidance on data protection procedures.
Your information will be held securely by us and shared with insurers, which could include reputable providers outside the EU, to enable them to provide accurate terms and they will also obtain data about you and your insurance history from various insurance anti-fraud databases, such as the Claims and Underwriting Exchange (CUE) as well as publicly available websites and credit referencing agencies.
We will not give anyone else any personal information except on your instructions or authority, or where we are required to do so by law, or our regulatory requirements. Information about you and your insurances will be securely stored on our secure servers while you are a client and for a minimum of three years, and in certain circumstances up to six years, after expiry of your policies. We will then dispose your information by deleting or anonymising your data.
Under the Data Protection Act, the rights of data subjects include the following:
Data Subject Right to Rectification
If a data subject contacts the firm advising that the information held about them is inaccurate or incomplete, the firm must refrain from processing (ie. using, but not storing) the data, until it has been verified or rectified. The business encourages customers to check and correct data as disclosure is an essential element in ensuring any policy provided by the company will protect the customer.
Full notes of any allegedly incorrect information will be kept on the customer record and, although there is a 30 day period in which to rectify information once notified under the DPA, in practice this must be carried out as soon as possible and confirmed to the customer in writing (email or letter) along with the impact on their insurance of any such change.
Data Subject Right to Erasure (Right to be Forgotten)
The right to erasure is extremely limited where the data subject is a customer of the business due to the legal obligation on the firm to retain customer data for a minimum period of 3 years under FSMA and the firm’s legitimate business purposes for retention to 6 years from lapsing. Once the firm has no lawful basis for holding data it must be deleted and our policy below indicates the relevant periods for which we will hold data.
Data subjects do, however, have the right to erasure where data is being held on the basis of consent (such as previous quotations or for marketing purposes) or their data has been processed unlawfully (such as where data has been obtained/ purchased from a third party that did not have the right to pass on that data)
Any request for erasure will be passed to the company’s data protection officer for review and appropriate action.
Data Subject Right to Restrict Processing
Individuals have the right to request that we restrict the processing (but NOT holding) of their personal data where:
- they allege inaccuracy of the data being processed (see right of rectification, above);
- data is being unlawfully processed;
- the individual has raised a formal objection to our processing of data (see Right to Object, below);
- or where the individual requests you refrain from deleting their data in order to establish or defend a legal claim (NB. In these circumstances the relevant data must be stored in a location and manner which prohibits processing of data)
Any request for restriction of processing must be noted on the file and passed to the company’s data protection officer for review and appropriate action.
Data Subject Right to Object to Processing
Again, this is a limited right which only applies in specific circumstances. Primarily in the case of Insurance Intermediaries it will be a specific right to opt-out of marketing communications.
Where a customer opts not to receive marketing communications, or, as a consumer, has not opted-in this will be noted on the client record and details will be removed from any marketing lists (Zywave, Brief Your Market etc). (Confirmation should be sent to the marketing manager or data protection officer).
In other cases of objection, where the firm has a lawful basis for continued processing, this will be referred to the data protection officer to evaluate whether the firm’s legitimate grounds should override the data subject’s objection.
Data Subject Right to Portability of Data
The right to data portability gives individuals the right to receive personal data they have provided to us in a structured, commonly used and machine-readable format. It also gives them the right to request that we transmit this data directly to another controller, however it is important to understand that the right to data portability only applies to personal data.
The right applies where the lawful basis for processing is consent or for the performance of a contract, the latter of which would apply to most of our data for individuals.
Any request for data portability will be noted on the file and passed to the company’s data protection officer for review and appropriate action.
You are NOT required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

Terms of Business Agreement
This document details our services and our arrangements for dealing with Your insurance. Please read it carefully and retain a copy for Your records. The English language will be used for all communications, the contractual terms and conditions, and any information we are required to supply to You, before and during the duration of the contract and this agreement shall be subject to English Law. We have designated you as a Consumer, which means your insurance requirements are NOT related to a trade or business.
The Financial Conduct Authority is the independent watchdog that regulates financial services. Insurance 4u Services Limited is authorised and regulated by the Financial Conduct Authority. Our Financial Services Register number is 830723. You can check our status at https://register.fca.org.uk or by contacting the FCA on 0800 111 6768. Our permitted business includes arranging, dealing in and assisting with the placing & administration of General Insurance policies.
1. How we treat the information you give to us

2. Our Service To You And The Products We Offer
We are an independent insurance intermediary, who acts on our customers’ behalf in arranging insurance. Our services include: assessing Your insurance needs and Personally Recommending policies suitable for You; arranging Your insurance cover with insurers to meet Your requirements; and helping You with any ongoing changes You have to make. We usually offer advice from a range of insurers, representing a fair analysis of the market, however, under certain circumstances we may only deal with a limited panel, or single insurer and we will notify You of the insurers considered when this applies.
We will advise and make a personal recommendation for You after we have assessed Your demands and needs. Our advice may be confirmed in a demands & needs statement, giving reasons for our recommendation.
Information on Payment Options and How we will treat Payments You make to us
We normally accept payment by cash, bank transfer or credit/debit cards. You may be able to spread Your payments through insurers’ instalment schemes or a credit scheme, which we have arranged with an established insurance premium finance provider. Rates and acceptance may be subject to a full credit check. We will give You full information about Your payment options and the appropriate finance agreement when we discuss your insurance in detail.
Under the terms of our agreements with the Insurance companies with whom we place business, we receive premiums You pay to us as Agent of the Insurer. We do not pay any interest on premiums held by us in the course of arranging and administering Your insurance.
3. Our Fees and Charges For Providing Our Services To You
We usually receive a commission from the insurer, which is taken from the amount You pay us, Where you pay on credit we will also receive commission from the premium finance provider. Insurer commission could typically be up to 25% and we also make the following charges to cover the administration of Your insurance:
Arranging new policies £ 75.00
Mid-term adjustments £ 75.00
Renewals £ 75.00
Replacement/duplicate certificates or cover notes £ 25.00
Mid-term cancellations and other refunds are paid NET of commission and in addition we charge an administration fee of £50.00
Personal lines/Retail policies cancelled during the ‘Right to Cancel’ period will be subject to an administration charge of £50.00, in addition to the premium charged by the insurer for the period of cover provided. If we arrange a policy on which we earn no commission we will advise You of the arrangement fee before You take the policy out. We may also make additional charges specific to the arrangement & servicing of certain short term policies (ie less than 12 months), but these will always be advised to you in advance.
4. How You Can Complain To Us
Our aim is to provide a first class service, however, if You wish to register a complaint, please contact Us by writing to Daniel Griffiths, Insurance 4U Services Limited, 92 Cannock Road, Wolverhampton, WV10 8PW, or, by phone on 01902 829190, by email at admin@carinsurance4u.co.uk. The Financial Services Compensation Scheme (FSCS) We are covered by the Financial Services Compensation Scheme (FSCS). Insurance advising and arranging is covered for 90% of the claim, without an upper limit. For compulsory insurances (eg., motor insurance and employers’ liability insurance), insurance advising and arranging is covered for 100% of the claim, without an upper limit. Further information about compensation scheme arrangements is available from the FSCS.
5. Premium Finance Facilities And Service
We are a credit broker, not a lender. When quoting, our systems will undertake a ‘soft’ check on your credit file, to verify your details, however this will not show on your credit file for other companies and will not affect your credit rating. We may use insurance and finance providers who will conduct a full credit check and share Your payment record with other lenders, all of which will be recorded on Your credit record. Please advise us if You do NOT consent to a full credit check being undertaken and you require premium finance, however this may affect our ability to offer instalment facilities to You. In relation to the provision of credit, we offer only the facilities provided by third party firms BNP Paribas & Close Brothers Premium Finance from whom we may receive a commission. Where a choice of providers is available, which could include instalment facilities provided by your insurer, we will explain the reason for our selection on any credit product offered.
Please Note: Your policy cover will cease if You fail to keep up payments on an instalment agreement or premium finance facility related to it and Your credit rating may be affected. In entering into a credit agreement to pay Your insurance premium, You give the finance provider the legal Right to cancel Your insurance policy on Your behalf in the event that You default on the loan, and offset any refunded premium against the outstanding amount owed to them. This means that if You default on Your payment terms and the finance provider requests that we cancel Your policy, we will do so as Your agent.
6. Your Responsibility To Provide Information
You must take reasonable care to answer all questions honestly and to the best of Your knowledge, and if You volunteer any other information, You must ensure that the information is not misleading.
If any information that You have provided to us changes before You take out Your insurance, during the life of the policy or at renewal, You must inform us of the change. If You deliberately, recklessly or carelessly misrepresent any information in relation to this insurance then Your policy may be cancelled without refund, or treated as if it never existed, or Your claim rejected or not fully paid.
Reporting Claims: As part of our service, we will assist You with any claim You need to make and tell You what Your responsibilities are in relation to making claims. All incidents which could lead to a claim must be reported as soon as practicable. Your insurer’s claims contact number is shown in Your policy.
For Motor / Home Insurance we operate an outsourced claims management service via iRev Motor Claims & Aspray Property Claims, who will assist You with Your claim and recovery of uninsured losses where this is possible. ALL such claims should be reported using the contact number iRev Claims 0800 029 1178, Aspray Property Claims 0800 077 6705.
7. Your Right To Cancel
You have a legal right to cancel Your policy or credit agreement for any reason, subject to no claims having occurred, within 14 days of receiving the full terms & conditions. You will always be advised where this Right applies. A charge will apply for the period of cover provided and, in addition, we make an administration charge as detailed above. If You cancel a credit agreement You will need to repay any sums provided in full. If You cancel after the 14 days has elapsed, short-period cancellation rates apply. If You wish to cancel a policy You must advise us in writing, prior to expiry of the 14-day cancellation period, to our usual office address.

If we arrange a policy on which we earn no commission we will advise You of the arrangement fee before You take the policy out. We may also make additional charges specific to the arrangement & servicing of certain policies, but these will always be advised to You in advance. Prior to the conclusion of each insurance contract, or upon renewal, We will remind You of Your right to be advised of the level of commission which We receive from underwriters. You are entitled, at any time, to request information regarding any commission which We may have received as a result of placing Your insurance business. Where we may receive additional remuneration based on the volume or profitability of our account with an insurer we will advise You of this.

6. Sums Insured and Claims Notification
Sums Insured and Indemnity Limits
You will be responsible for ensuring that all sums insured and indemnity limits are adequate for the cover requested. We will advise You of the basis of calculation for sums insured and will, on request, give You details of external experts, such as surveyors and valuers, which You may wish to consult. The following information on calculating business interruption sums insured is given for guidance, but You should always seek specific advice from us if You are in any doubt as to what should be included.
Average
In the event of under-insurance, Insurers may reduce the amount of any claim settlement in the same proportion as the sum insured bears to the total value of the insured items.
7. Information on Business Interruption/ Loss of Profits Insurance
Several types of cover exist for Business Interruption cover, which is sometimes referred to as Loss of Profits insurance;
Gross Profit basis (usual for manufacturers, retailers etc); Gross Revenue basis (normally for consultants, professions); and Increased cost of working (ICW) basis, for businesses that believe there would be no loss of profit or revenue in the event of a claim, but would need to cover increased trading costs until the claim is settled.
NB ‘Accounting Gross Profit’ and ‘Insurance Gross Profit’ are not the same thing.
Where Your policy includes this cover, the Sum Insured for ‘Gross Profit’ should
normally be calculated using the following method:
Annual turnover plus year-end stock and work in progress; less opening stock (and work in progress) and purchases, bad debts and uninsured variable expenses (such as the purchase of raw materials or shipping costs)
Gross Revenue insures the total turnover without deductions and Increased Cost of Working is based on projected additional costs of temporary relocation and other forecast additional costs.
Business interruption sums insured should then be adjusted to take into account the indemnity period (eg. doubled for 2 years indemnity period)
8. Our Service and Obligations to You
We will conduct a fact-find to evaluate Your insurance needs with the member of Your business that You choose to nominate as Your Insurance Contact (as stated in the Declaration below), who will be responsible for ensuring that Your disclosure obligations to insurers are met.
Please contact Us immediately if You wish to change the person in Your business nominated as Your Insurance Contact.
We will act as Your agent in sourcing a policy to meet Your demands and needs and presenting the information provided by Your nominated Insurance Contact in a manner which is clear and accessible to insurers. Where We operate under delegated authority from insurers We will act as their agent in certain circumstances and We will always advise You where this is the case.
We will advise and make a personal recommendation for You after We have assessed Your demands and needs. Our advice will be confirmed in a demands & needs and suitability statement, giving the reasons for Our recommendation. We typically offer advice from a limited panel of selected insurers, or from a single insurer and we will advise You of the identity of the insurers considered, or if we have given advice based on a fair analysis of the market. We do not accept responsibility for the solvency of any insurer recommended.
We may use another, specialist, intermediary to access the insurance product that most suits Your needs and We will inform You where this is the case.
Cancellation of this Agreement
This agreement will remain in force unless cancelled by either party in accordance with the terms below or You have no insurance business placed through Us. You may cancel the agreement at any time, subject to notification in writing to our usual office address. In the event of cancellation, We shall be entitled to retain any commissions and fees earned prior to the date of cessation of the agreement in full. We have the right to cancel this agreement subject to one month notice in writing to Your last notified address
